    Job Description

    Allied Universal is looking for an Operations Assistant to support for major Airport located in Jamaica, NY.


    This position is responsible for performing administrative duties and assisting Tour Supervisors in scheduling and contacting additional security professionals for work assignments. The Operations Assistant maintains daily logs, timesheet and reports, and distributes all notifications in a timely and orderly fashion.




    ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:  Those duties necessary to meet the minimum requirements of the position.  Other duties may be assigned:

    1. Acts as the first point of contact for the Tour Supervisor and contacts additional security professionals for work assignments
    2. Maintains daily logs and requests for special posts/reassignment, issues equipment to guards, and maintains equipment issuance records
    3. Prepares, reviews and distributes the Tour Summary sheet
    4. Ensures tour sheets are signed “on” and “off” duty by the security professionals, files the sign-in sheets of each tour, and prepares a written report of each tour at the end of each shift
    5. Inputs payroll and billing information in “real-time”
    6. Distributes all notifications to the client and management in a timely, orderly fashion in a standardized format.
    7. Perform administrative duties such as filing, coping, and scanning of paperwork, prepare roll call sheets, and assist, monitor and record information as needed,
    8. Assists in issuing Port Authority ID cards

    QUALIFICATIONS:  To perform this job successfully, the individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skills, and/or experience required.  Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.

    • Must possess a high school diploma or equivalent. An associate or bachelor degree is a plus.
    • Minimum 2 years of administrative assistant experience or 2 years of experience in security, police, or a military position that also involves administrative duties. 
    • Must be proficient and fully functional in all Microsoft Office applications and able to effectively perform data entry. Knowledge or training in filing, record keeping or document management is a plus.
    • Must have attention to detail and accuracy for data entry and be highly organized.
    • Professional, articulate and able to use good independent judgment and discretion. 
    • Must be able to work overtime as needed.
    • Outstanding verbal and written communication skills required with the ability to successfully interact at all levels of the organization while functioning as a team player.



    • While performing the duties of this job, the employee is regularly required to use both hands, is frequently required to stand, sit, stoop, talk and hear (communicate verbally in person and via regular telephone equipment), and must be able to read computer screens, correspondence and reports in English. 
    • The employee may occasionally lift and/or move up to 25 pounds. 
    • The employee must be able to concentrate on details, work under deadline pressures, apply sound logic and judgment, and prioritize tasks and responsibilities. 
    • Must be able to focus in a busy environment, with the ability to successfully handle stressful situations in a calm and professional manner.  Includes being able to effectively manage multiple employees with diverse personalities and engage them to perform at optimum levels.
    • Must be able to clearly speak, read and write English.
